SAM is free for businesses to use, helping them onboard, manage and pay their self-employed drivers. Drivers can also choose extras such as full accountancy or invoicing only and financial support, but these are not required to use the platform.
SAM ensures your drivers are paid weekly, with all invoices accessible on the platform. Drivers can view their pay details directly on the app and you have the option to download invoices for all your drivers for easy tracking.
At SAM, we know how important it is to stay compliant with carriers and HMRC. All key documents are securely stored on the platform and can be downloaded instantly for audits. If you need further support, our team is available to assist with contract or employment law matters at no extra cost.
Once you invite your drivers via the SAM platform, they simply download the SAM app and follow the onboarding steps in the onboarding email they receive. They’ll enter their personal details, then upload the documents, sign the agreements, making the whole process quick, simple, and secure.
You can track the driver's progress through the application by checking the icons that represent the completed tasks in the onboarding process, shown in green for completed and red for not completed. This information is available in the onboarding tab.

You’ll need an invitation from the company you’re driving for. This will arrive by email and include your access code along with a link to download the app. If you haven’t received an invite but think you should have, please contact the company directly.

Open the SAM app and tap “Forgot Password.” You’ll receive a one-time passcode (OTP) by email. Enter the OTP, set a new password and you’ll be able to log back into the app.
If you've chosen the Ratnam full accountancy model when you signed the agreement in the app, Ratnam Associates will handle your Flat Rate VAT scheme registration for you. However, if you're on the Invoice Only model, you'll need to register for VAT yourself.
VAT-registered drivers typically enjoy higher weekly earnings compared to those who are not registered.

SAM works in partnership with Ratnam Associates to handle payroll and invoicing. A £15 admin fee applies, but once you register for VAT, this cost is refunded and automatically covered by your VAT pot moving forward.
Since SAM uses OCR (Optical Character Recognition), errors can occur if the document image isn’t clear. Make sure the photo is well-lit, not blurry, and all details are visible within the frame. For self-employed drivers, VAT registration can offer notable financial advantages. In addition to standard VAT registration, HMRC offers the Flat Rate VAT Scheme, specifically designed to simplify VAT processes for small businesses and self-employed individuals. With the Flat Rate VAT Scheme, you pay a maximum of 10% VAT to HMRC and you keep the difference between what you charge your customers and pay to HMRC.
SAM will take care of your VAT return from start to finish, including preparation, submission and paying your VAT liability to HMRC. When you’re registered for VAT, it’s very important that you send us your VAT registration letter. Without it, we can’t charge VAT to your DSP and your VAT pot won’t be created. Not providing this letter could also result in late filing penalties or HMRC assessments. To keep everything running smoothly, please forward the letter to us as soon as you receive it.
Yes, they will handle the process. HMRC will send you a 10-digit UTR number, which you must share with SAM.
