SAM helps you save time by simplifying the onboarding process: you can onboard new drivers in less than 10 minutes from start to finish with no paperwork and less admin time.
Simply click “Add a New Driver” and enter their name, email and phone number. Once the driver submits their details, verify the information provided, then approve or decline their onboarding request directly through the platform. Remember, each driver’s email address must be unique and not previously registered with another DSP.
Drivers will need to download the SAM app after receiving their invitation.After downloading, they’ll complete their personal details, scan and upload their evidence, and e-sign all required agreements, completely paper-free. Once you’ve reviewed and approved their documents, simply click “Onboard”, and the driver can start using the app right away.
Managing driver payments, route rates, and deductions can be challenging — SAM makes it effortless. Using a simple, real-time dashboard, you can manage and adjust all payments in one place. Each week, you make just one single payment to SAM, and we handle the rest, distributing individual payments to your drivers. They can then track their earnings directly through the SAM app, ensuring full visibility and transparency.
You can add deductions quickly from the Deductions tab in each driver’s profile. Upload supporting photos, receipts or documents and create custom deduction types, from parking fines to uniform costs. All deductions link directly to the driver’s profile and appear in payslip exports. Drivers can also view them in real time on the app, ensuring full transparency and fewer disputes.
Once you invite a new driver through the web portal, the system will automatically send them an email with the registration link. If they haven’t received the email, please verify that the correct email address was entered. If issues persist, email dsp@ratnamaccountants.co.uk for assistance.
There could be a few reasons your driver is stuck in their application. Has all their evidence been approved? Have you marked them as ‘approved’ on their induction? All documents must be signed by the driver and all evidence submitted must be approved by the DSP for the driver to progress in their application. If the driver still has issues with their application, ask them to contact the support team on 07710 392020.
You invite an existing driver in the same way you invite a new driver, from add a new driver button in drivers’ section.
You can easily update the driver’s details in the portal. Just click on the driver’s name to access their profile page, then look for the green edit icon to update the email address. If it asks for the National Insurance number and/or nationality, simply enter N/A and the email address will be updated.
All signed policies and documents are listed in the driver’s engagement details tab.
You can track the driver's progress through the application by checking the icons that represent the completed tasks in the onboarding process, shown in green for completed and red for not completed. This information is available in the onboarding tab or within the driver's engagement details.
You can offboard this driver from the onboarding drivers tab and this will fail the application. There are three dots visible by a driver’s name to offboard them.
Once a driver submits all the necessary documents, including their Service Level Agreement and receives approval, you can activate them through the onboarding portal.
The dashboard will present a total figure of your active drivers, which you can select to go to the entire list. For more detail on who they are, all active drivers can be found via the active driver’s tab on the ‘My drivers’ page.
Yes, you can reactivate an inactive driver on the web portal by selecting the three dots next to their name in the 'Inactive' section and choosing "Activate." If a driver rejoins your company, simply having them re-sign the necessary documents keeps your business fully compliant.
You can offboard a driver from the ‘Active drivers’ tab by clicking on the 3 dots next to their name and selecting ‘offboard driver’.
First, find the driver you would like the documents for and then click on the driver. You can select the download audit pack to download all documents associated with the driver; this also includes their personal details. You can also download items individually if there is a download button next to the item.
All policies and documents that are pending signature will be listed in the ‘Onboarding Drivers’ section. You’ll see progress icons indicating their status: red for not completed and green for completed.
SAM automatically tracks expiring documents like driving licences and right-to-work evidence. In the Evidence Card section of the dashboard, you can view which drivers need to re-upload and send notifications to all or selected drivers. They’ll receive notifications to update their documents directly in the app.
Auditing is an essential part of the SAM platform. With SAM, you can instantly access a complete audit pack containing individual files for each driver. Each file includes all required evidence and signed documents, ensuring accurate record-keeping and easy reference for audits or compliance checks.

SAM’s Vehicle Management System (VMS) automatically records key vehicle details including MOT and tax expiry dates. It sends timely alerts when renewals are due, promoting compliance and simplifying fleet management.
SAM uses built-in OCR technology to extract and verify details from driving licences, passports and right-to-work documents automatically. This speeds up onboarding, reduces errors and ensures every driver meets compliance requirements.
We’ve launched the new Scheduling Module in the SAM platform, built specifically to help DSPs streamline shift planning, reduce admin time and ensure every route is fully covered. It lets you efficiently manage your workforce, assign routes and optimise driver capacity all from one central platform. Drivers can specify the dates they work, view their shifts and routes directly in the app.
Through the SAM app, drivers can report accidents in real time, view invoices and agreements and complete daily van checks. After Stage 1 of onboarding, they’ll also complete mandatory training to ensure safety, compliance and operational excellence.

We recognise that a significant portion of the UK’s last-mile delivery workforce is made up of European and international drivers and SAM is designed to fully support this. The platform accepts European/International driving licences as part of the verification process, while also prompting drivers to upload their right-to-work code, work visa or relevant permit, ensuring a smooth, compliant onboarding experience.

The driver will then move to Stage 2 of the onboarding process, where they’ll be required to re-sign their agreements before becoming fully active.
